IRON GATE PUBLISHING
Privacy Policy
This policy explains how Iron Gate Publishing collects, uses, stores and protects personal information received through this website, email correspondence, manuscript submissions and Author Services enquiries.
Effective date: 9 September 2026
1. Who We Are
Iron Gate Publishing is an independent publishing house operated by Suvash Deb, trading as Iron Gate Publishing, from Charaideo, Assam, India. Our website address is irongatepublishing.com.
2. Information We May Collect
We may receive information you voluntarily provide through email, manuscript correspondence and website forms. This can include your name, email address, telephone or mobile number, location, messages, book title, genre, manuscript word count, manuscript status, target timeline, author biography, publishing goals, services requested and a description of your book or project.
Our hosting and security systems may also receive limited technical information such as IP address, browser type, device type, referring page, access time and server-log data.
3. Publishing and Author Services Enquiries
When you submit a publishing application or Author Services enquiry, the information you provide may be stored in the Iron Gate website database as an enquiry record and a copy of the notification may be sent by email to Iron Gate Publishing. For publishing applications, the record may include contact details, book information, manuscript status, timeline, project description, selected professional services/packages, partnership acknowledgement and submitted files. Standalone Author Services enquiries may additionally include the services requested.
We use these records to assess suitability and availability, review project requirements, respond to you, prepare quotations or scopes of work, manage follow-up correspondence and maintain reasonable business, accounting, contractual and legal records. Submission does not create a publishing relationship and does not guarantee acceptance, publication or commercial results.
4. Submission File Uploads
The Publish With Us application accepts a required synopsis and one required file containing three sample chapters in DOC, DOCX or PDF format. The complete manuscript is not requested at the initial application stage. Uploaded files are stored with the corresponding publishing-enquiry record for evaluation and administrative review; notification email does not need to carry those files as attachments. Access is limited to authorised website administrators through the enquiry record. Copyright remains with the author unless rights are expressly granted under a separate written agreement.
5. How We Use Information
Information may be used to respond to enquiries, review submissions, assess projects, request further information, prepare proposals or agreements, administer professional services, maintain business and editorial records, protect the website and comply with legal obligations.
6. Legal Basis and Consent
By voluntarily contacting us, submitting material or completing an enquiry form, you authorise the processing reasonably necessary to consider the matter, communicate with you and carry out related publishing or professional-service activities. Where consent is the basis of processing, it may be withdrawn subject to information we must reasonably retain for legal, contractual, security or record-keeping purposes.
7. Sharing of Information
We do not sell personal information. Information may be shared only where reasonably necessary with trusted hosting, email, editorial, design, production, distribution, accounting, legal or technology providers, or where disclosure is required by law.
8. Storage and Retention
Service enquiries, submission correspondence and related records are retained only for as long as reasonably necessary for evaluation, communication, quotation, administration, contractual obligations, accounting, dispute resolution and legal or regulatory requirements. Records may be deleted or anonymised when they are no longer reasonably required.
9. Cookies and Technical Data
The site may use essential cookies, session storage and technical logs required for administration, security and proper operation. The manuscript-submission invitation may use browser session storage so it does not repeatedly appear during the same visit. If optional analytics or advertising tracking is introduced, this policy and any required consent mechanism will be updated.
10. Third-Party Websites
Links to retailers, distributors, social platforms and other external services are governed by those providers’ own privacy practices.
11. Data Security
Reasonable administrative and technical precautions are used to protect information, although no internet, email or electronic storage system can be guaranteed completely secure.
12. Your Rights
Subject to applicable law, you may request access to, correction of or deletion of personal information, withdraw consent or raise a privacy-related grievance. We may need to verify identity before acting on a request, and some information may need to be retained for legitimate legal, contractual, security or record-keeping reasons.
13. Children’s Information
Children should not submit manuscripts, service enquiries or personal information without the involvement of a parent or lawful guardian.
14. Changes to This Policy
This policy may be revised as the website, publishing operations, technology or legal obligations change. The updated effective date will be displayed on this page.
